Moving from Google Workspace to Microsoft 365: what to plan

The move is a managed business change, not only an email transfer. Accounts, calendars, files, permissions, devices and applications may all be affected.

Moving can be sensible when a business wants to standardise on Outlook, Teams, OneDrive, SharePoint and Microsoft 365 applications. It should solve a clear business problem rather than happen simply because one platform is more familiar.

Start with the reason for moving

Common reasons include closer integration with Microsoft Office applications, more consistent use of Teams or SharePoint, clearer user and device management, or a change in ownership, structure or suppliers.

These can be valid reasons. They do not mean that Google Workspace is unsuitable for every business. The right decision depends on how people work, what applications they use and how information is shared.

Confirm what is in Google Workspace

Create a practical inventory covering:

  • Active and suspended users
  • Email aliases, shared addresses and Google Groups
  • Gmail mailboxes, contacts and calendars
  • Personal Google Drives and Shared Drives
  • Google Docs, Sheets and Slides
  • Shared calendars and room bookings
  • Google Vault or other archives
  • Google Sites, Forms and automations
  • Applications using Google sign-in
  • Devices connected to Google accounts
  • Domain and DNS access

The inventory does not need to become a huge exercise. It must be accurate enough to prevent important data or dependencies being missed.

Decide where information should go

Google Drive and Microsoft 365 are organised differently. Personal work files usually belong in OneDrive. Shared business information will often belong in SharePoint or a Team.

Before migrating shared data, decide which files are still needed, who owns each area, which information belongs to a person or the business, which teams need access, whether external sharing should continue, and what should be archived or excluded.

Understand what can move automatically

Microsoft provides tools that can migrate Google Workspace email, contacts and calendars. Microsoft Migration Manager can also move accessible Google Drive content into OneDrive and SharePoint.

That does not mean every item arrives exactly as it appeared in Google. Google files may be converted into Microsoft formats. Some items are unsupported, external sharing links are not recreated automatically, and content the migration account cannot access may be excluded.

The plan should state what will move automatically, what will be recreated and what will remain in Google for an agreed period.

Plan identities and access

Each source user needs to map to the correct Microsoft 365 account. This includes normal users, aliases, shared addresses and groups.

The business should also decide how users will sign in and what security controls apply. Multi-factor authentication, administrator access and device requirements should be planned before cutover.

Check applications that depend on Google

Accounting systems, marketing tools, web applications and mobile apps may use Google sign-in, Gmail, Drive or Calendar. Changing the email platform does not automatically change those integrations.

Ask each team which applications they use and test the important dependencies.

Choose a cutover approach

A very small business may move everyone at once. A larger or more complex business may use a pilot and move users in groups.

The right approach depends on user count, data size, busy periods, disruption tolerance, key-staff availability, mail routing and application complexity.

The cutover plan should cover domain and DNS changes, new mail delivery, user sign-in, device setup and communication. It should say who will make decisions if an unexpected issue appears.

Test before closing Google Workspace

A completed migration job is not the same as a verified business outcome. Check:

  • New email delivery and access to historical email
  • Calendars and contacts
  • Personal and shared files
  • Important permissions
  • Outlook, Teams and mobile sign-in
  • Important business applications
  • Known migration exceptions

Do not cancel Google Workspace simply because the first users can open Outlook. Keep the source available for the agreed validation period and confirm archive or retention requirements first.

Prepare users for the change

Tell people when to stop creating new work in Google, how to sign in, where email and files will be found, what will change on their devices and where to report a missing item or access problem.

Clear instructions reduce confusion and help the technical team separate normal user questions from migration faults.

The scope should identify the users, data, services and applications included; migration method; unsupported items; licence and third-party costs; cleanup; device setup; training; expected disruption; validation period; post-migration support; and when Google may be retired.
